You know you need help, but the question remains: should you bring on a Virtual Assistant (VA) or an Online Business Manager (OBM)? Let’s break down the key differences between these roles to help you decide which support role is right for you.
Key Differences
Doing vs Managing
- A VA’s primary role is DOING. They focus on performing specific tasks within their area of expertise—whether it’s administrative work, customer service, tech support, or marketing assistance.
- An OBM, on the other hand, is responsible for MANAGING. They ensure tasks are completed properly, on time, and by the right team members. Their role centers on managing operations to keep the business running efficiently.
Accountability
- A VA is accountable for completing their OWN assignments and ensuring timely delivery of their work.
- In contrast, an OBM oversees the responsibilities of the ENTIRE TEAM. They focus on ensuring all members are meeting deadlines and contributing to progress toward overarching business objectives.
Strategic Planning
- VAs plan their schedules to manage their individual workloads and meet deadlines effectively.
- OBMs take a broader approach, developing systems and strategies that keep the business running smoothly. They anticipate needs, create plans, and ensure the company avoids the chaos of last-minute problem-solving.
Team Collaboration
- While VAs primarily concentrate on their own tasks, they may occasionally coordinate with teammates to fulfill their responsibilities.
- OBMs act as the central communication hub for the team. They work closely with all members to clarify tasks, deadlines, and resources, ensuring everyone is aligned and productive.
The Bottom Line
A VA operates independently, focusing on completing assigned tasks based on instructions from the business owner. In contrast, an OBM works collaboratively, creating and managing plans to help the entire team meet business goals. They don’t just follow orders – they strategize, organize, and execute at a higher level.
Deciding Between a VA and an OBM
Consider these questions to determine which role your business needs:
What stage is your business in?
If you’ve established consistent revenue, typically around $15–$20k per month, and are aiming to scale further, an OBM is ideal. They’ll help build the structure, systems, and team needed to support your growth.
Who’s managing the team now?
Many business owners underestimate how much energy goes into managing daily operations – creating plans, organizing resources, and ensuring the team stays on track. Without an OBM, these responsibilities often fall to you, which can drain your time and energy.
Where are the bottlenecks?
Early on, your drive and hard work may have been enough to keep things moving. But as your business grows, relying solely on yourself can hinder progress. An OBM can help delegate and streamline processes, freeing you to focus on scaling your business.
Time to Shift Gears
Eventually, every growing business outgrows the “do-it-all-yourself” approach. The hustle that served you in the beginning may start to slow you down. When you’re ready to move beyond being the central hub for everything, it’s time to consider bringing in an OBM.
If you’re eager to reduce your day-to-day workload and focus on growing your business, let’s chat. An OBM could be the key to unlocking your next level of success.

From Frustration to Flow
Every business faces unique challenges – whether it’s refining operations, building smarter systems, or simply running more efficiently. In this case study, you’ll read how my customized support has helped my client navigate complexity, unlock growth, and create lasting impact.
Client Profile
When a long-standing Personal Assistant retired after 20 years, my client—an Executive Coach—was left without documented processes or systems. Although a handover was provided, it wasn’t enough to sustain the next hire. Over the course of two years, he experienced a revolving door of assistants. None of them were able to meet his expectations or truly understand the unique rhythm of his work. That’s when he reached out to me.
My Approach
1. On-the-Ground Assessment
I started by spending time with his current assistant to understand what she knew about the role. It became clear she was struggling—without clear systems or structure, she couldn’t support him effectively. I then worked closely with the Executive Coach to uncover what he needed most from his support role, what had worked in the past, and where things were falling short.
2. Documentation and Refinement
Using what I learned from both the client and his assistant, I began documenting key responsibilities and expectations. I also stepped into the role myself for a short period. This hands-on experience allowed me to observe the nuances of his preferences, communication style, and daily flow. From there, I refined the Standard Operating Procedures (SOPs) to reflect his needs accurately and realistically.
3. Recruitment and Placement
Once the documentation and structure were in place, I managed the recruitment process to find a strong Personal Assistant based in the Philippines. With clear expectations and SOPs as a foundation, the new hire was able to step into the role with confidence and provide consistent, reliable support. She remained with the Executive Coach for several years.
The Result
By taking the time to deeply understand both the client and the role, I was able to build a system that worked—one that supported both the Executive Coach’s demanding schedule and his need for consistency. The SOPs and hiring process created the stability he’d been missing and transformed what had been a chaotic handover into a sustainable, long-term solution.

Tailored Support. Tangible Results.
Every business faces unique challenges – whether it’s refining operations, building smarter systems, or simply running more efficiently. In this case study, you’ll read how my customized support has helped my client navigate complexity, unlock growth, and create lasting impact.
Client Profile
Vicky’s business had grown steadily over ten years, and she’d built a solid full-time team. But with that growth came the need for more structure – especially around HR documentation and internal processes. Having worked together in a corporate setting years earlier, Vicky reached out to me for support in formalizing key HR elements as her business evolved.
The Solution
1. Strategic HR Consultation
Since I was already familiar with her business, we kicked things off with a strategy session to assess her team’s current needs. Together, we identified key gaps—most notably the absence of formal position descriptions and a central staff guide outlining expectations, leave policies, and working conditions.
2. Position Description Workshop
I facilitated a full-day, in-person workshop with the team.
Each team member used a template to draft their own position description, which was then reviewed and refined in collaboration with their managers.
This process encouraged reflection, opened up conversations around role clarity, and helped identify opportunities for training and task delegation or reallocation.
3. Development of an Employee Handbook
Using the workshop outputs and strategy session insights, I created a comprehensive Employee Handbook.
It included policies covering working hours, leave, confidentiality, intellectual property, and relevant procedures for both the office and warehouse teams.
The Outcome
The new documentation brought clarity and structure to the team’s operations. The collaborative process fostered ownership among Vicky’s team, and surfaced key areas for improvement and training. Most importantly, the Position Descriptions and Employee Handbook remain in active use, forming the foundation of the client’s HR framework as the business continues to evolve.
